Privacy Policy

CXO Systems, LLC operates findingmydoc.com (“FindingMyDoc”, “we”, “us”), a directory of urgent care, primary care and pediatric clinics in Texas. This policy explains what we collect, why, and what we do and do not do with it. It is written to be read, not to be survived.

The short version

  • We do not sell personal information, and we do not process it for targeted advertising.
  • No mobile information is shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with anyone.
  • Most of what this site holds is business information about clinics — names, addresses, phone numbers, opening hours — not information about the people browsing it.
  • You can use the directory without giving us anything. Accounts exist only for clinic staff claiming their own listing.

1. The listings themselves

The directory is built from publicly available business information: clinic names, addresses, phone numbers, opening hours, categories, and the ratings and review counts published on Google Business Profiles. This is information businesses publish about themselves so patients can find them.

Ratings and review counts are Google’s and are shown as Google’s. We do not accept edits to them from anyone, including the clinic itself.

Where a clinic has claimed its listing, it may add further business details — services offered, insurance accepted, lab certification, an online booking link. That content is supplied by the practice and published on its behalf.

2. If you are just looking for a clinic

You can search and browse without giving us your name, an email address, or an account. We do not require registration to read anything, and there is no public sign-up.

Our servers and our providers record ordinary technical information when you load a page: IP address, browser and device type, the page requested, referring page, and timestamps. This is used to serve the site, keep it secure, and understand which pages are useful.

3. If you are a clinic claiming or updating a listing

To claim a listing, we verify that you can be reached at a contact already published for that practice — a phone number or an email address on the practice’s own domain. You choose which one; you cannot supply a new one. That is deliberate: it is what stops anyone claiming a clinic they have nothing to do with.

In that process we collect:

  • your name, and the role you give (practice manager, owner, front desk, and so on);
  • an email address you give us so we can reach you about the claim;
  • the one-time code we send, and whether it was used;
  • the details you then enter about the practice.

We keep a record of verification attempts, including the number or address contacted and the outcome. We need this to detect abuse and to show, later, that a listing was claimed by someone who could be reached at the practice.

4. Text messages

Text messaging is used for one thing: verifying that we are talking to someone at the practice, and sending a link so they can update their own listing. Specifically, a one-time verification code, a confirmation code for a newly submitted clinic, and a link to a profile update form.

You receive a text only after you have asked for one — by choosing the text option during a claim or a submission on this site. We do not send marketing texts, promotional texts, or bulk texts of any kind.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the sharing categories described in section 6 exclude text messaging originator opt-in data and consent; that information is not shared with any third party.

Reply STOP to any message to stop receiving them. We record that opt-out against your phone number and it also stops our phone calls to that number. Reply HELP for help. Message and data rates may apply. Full details are in our Text Message Terms.

5. Phone calls and email to clinics

We contact clinics using the business contact details they publish, to confirm the information we list about them is accurate. We keep a log of these contacts — number, time, outcome — and a do-not-contact list.

We do not put tracking pixels in our email, and we do not rewrite the links in it. We do not record whether you opened a message or which links you clicked. What we do record is what the mail server tells us: whether the message was delivered, bounced, or was reported as spam. We keep that because sending repeatedly to a dead address is how a sender gets blocked, and because a spam complaint is a request to stop that we would otherwise miss.

If a clinic asks us to stop contacting it, by any means, we record that and stop. Opt-outs are stored against the phone number or address and are not time-limited. We keep them precisely so that we do not contact you again after forgetting.

6. Who else is involved

We use a small number of service providers, and they process data only to provide their service to us:

  • Cloudflare — content delivery, TLS, and protection against attacks. Sees requests to the site.
  • Telnyx and Retell AI — telephone calls and text messages.
  • Twilio SendGrid — sending and receiving email.
  • Google — Google Tag Manager and the analytics loaded through it, and the Business Profile data the listings are built from.
  • CleanTalk — spam filtering on forms.
  • Defiant (Wordfence) — security monitoring and blocking.

We may also disclose information if we are legally required to, or to protect the site and its users from abuse.

We do not sell personal information. We do not share it for cross-context behavioural advertising. We do not trade or rent our contact lists.

7. Cookies and analytics

This site sets cookies necessary for it to work — session handling, security, and, if you log in as a clinic operator, keeping you logged in.

Google Tag Manager is loaded on the site and may set analytics cookies used to measure traffic. We use this to see which pages and which towns people actually look for, so we know where the directory needs work.

Most browsers let you block or delete cookies. Blocking them will not stop you reading the directory; it may stop a claim form from working.

8. How long we keep things

Listing information is kept for as long as the listing exists — it is the point of the service. One-time verification codes expire in minutes and the used ones are discarded. Claim and verification records, and contact logs, are kept while we need them to run and defend the service. Opt-out records are kept indefinitely on purpose: deleting the record that you asked us to stop is how a business ends up being contacted again.

9. Your choices and your rights

Texas residents have rights under the Texas Data Privacy and Security Act, including the right to know what personal data we hold about them, to get a copy, to correct it, and to have it deleted. Residents of other states may have similar rights under their own laws. We apply these to everyone who asks, rather than checking where you live first.

To make a request, email [email protected]. We may need to verify that the request genuinely comes from you, or from someone entitled to act for the practice, before we act on it — particularly for anything that would change a published listing.

Because we do not sell personal data and do not process it for targeted advertising, there is no such processing for you to opt out of.

If a clinic wants its listing corrected or removed, email the same address. You do not need an account to ask.

10. Security

We use TLS on every page, restrict who can change the site, and monitor for attacks. No system is perfectly secure, and we will not claim otherwise. What we can say is that the site is deliberately built to hold as little sensitive information as possible: we do not collect patient information, medical records, or health conditions, and this directory is not a place to send them.

11. Children

This site lists pediatric clinics, but it is meant for adults arranging care. It is not directed at children, and we do not knowingly collect personal information from anyone under 13. If you believe a child has given us information, email us and we will delete it.

12. Changes

If we change this policy we will update the effective date at the top. Material changes will be described here rather than quietly folded in.
